What does our process look like?
We provide support from the very start until the last person leaves your event. As part of our dedicated support, we act as a natural extension of your production and audiovisual team to help smoothly deliver accessibility – including being available on site.
We scope based on your requirements and then organise the support team, whether your event is in-person or remote.
Additionally, we can provide translation of event materials, as well as alternative formats, such a braille and large print.
We do all this while integrating easily within audiovisual and event organisation teams.
During the process, you will deal with a dedicated account manager for anything you need. No bots. No ticket queues. Just good people, helping you out.

What accessibility services do you provide for events?
At VoiceBox, we provide a range of accessibility services for events, including live captions, sign language interpreting, interpreting, transcription, accessible documents, guidance on accessible signage, and a free accessibility consultation.
What are the accessibility requirements for UK events?
In the UK, there aren’t explicit accessibility requirements for events. Instead, the main requirement is via the Equality Act 2010. This outlines that event organisers and venues should make reasonable adjustments so that disabled people are not placed at a substantial disadvantage.
These adjustments may include accessible toilets, captions, accessible information formats, British Sign Language (BSL) interpreters and more.
Can you give me examples of accessibility considerations for events?
Some examples include mobility considerations (accessible parking, wheelchair access, seating close to the stage), hearing considerations (live captions, BSL interpreters, good quality microphones) and visual considerations (accessible documents, signage audio description).
Other accessibility considerations include neurodiversity, as well as medical and hidden disabilities.
Can you provide guidance during the planning phase?
Yes, we especially love to provide guidance during the planning phase. It is here that accessibility planning is most impactful.
That being said, we can provide guidance at any stage and provide accessibility support.
Can you support multiple events?
Yes, we can support multiple events at one time and across a calendar year. Our team is on hand to provide you with the dedicated support you need – whatever time of year – to make it happen.
Do you provide on-site and remote support?
Yes, we provide on-site and remote support for events. If requested, we can send one of our project managers to help oversee the project and advise in-person.
Alternatively, we also provide the same dedicated support remotely. It just depends on your preference.
Do you provide additional accessibility guidance?
Yes, as well as media accessibility advice, we also provide general accessibility guidance. This could involve access to venues and events, such as sensory spaces, quiet rooms, accessible signage, guide dogs and more.
Can you provide more details about live captions?
Yes, of course we can! Live captions, also known as real-time captions, are on-screen text that show what’s being said during an event. They are instantaneous, either through a human or AI workflow, so audiences can read what’s being said in real-time.
They are one of our most popular services and tend to be the first thought for events, given how many people they cater for. People who benefit from live captions include audiences who are deaf, hard of hearing or have tinnitus, non-native speakers, neurodivergent participants and more.
Do you provide equipment hire for interpreting?
Yes, we can provide equipment hire for interpreting. This includes the sound control console, headsets, a technician for setting up and a sound booth if required.
Do you provide post-event support?
Yes, we provide post-event support. We can provide transcripts of live captions, for example, after the event has concluded, and a help with any post-event content.
